Privacy policy

Who we are

Harmony helps student organizations keep their roster, their events, and their attendance in one place. The website is harmonyorgs.com. The same account works in the Harmony app.

Questions about this policy go to privacy@harmonyorgs.com.

An account

Creating an account asks for your name and your school email. You choose the name once, and every organization uses that name. The school on your account is the one that matches your email address. You sign in with a password, or with a 6-digit code we email you. We do not offer Google or Apple sign-in.

You can add a profile photo, and remove it whenever you like. Members of your organizations can open your profile and see your name, your photo, your role, and which organizations you share with them. We do not ask for anything else about you.

On the website, your sign-in is kept in a cookie. In the app, it stays on the phone.

Using an organization

When you belong to an organization, we keep your membership and your role. We also keep the events you create, your RSVPs, your attendance, and announcements you post. If you allow notifications, we store the push token for your phone and the notification settings you choose.

Officers of your organizations can see the roster, RSVPs, and attendance, and they can export attendance. A discoverable organization shows its name, description, school, and member count to signed-in people at that school. The organization's contact details stay with its members.

Feedback you send from your account, a bug or an idea, is stored and emailed to us. So is a report you send about a post, a member, or an organization. The person or organization you report is not told who reported them.

Someone without an account

An officer can check someone in who does not have an account yet. We store the name and school email the officer types, the organization and event, the time, and which officer did it. We do not store a phone number, student ID, photo, year, or major for that person.

That record is not a membership. It does not appear on the roster, in announcements, or on any mailing list. Officers of the organization that checked the person in can see it. Other organizations cannot.

We send at most two emails about it: one when the check-in is created, so the person can claim the attendance or say it was not them, and one reminder at day 14 if it is still unclaimed. After that, nothing.

The name and email are deleted when the person chooses "Not me", when the claim email bounces, or after 90 days unclaimed. The check-in stays as an anonymous guest count, so the event total is still right. Claiming the attendance links it to the person's account. It does not make them a member.

Deleting an account

You can delete your account from your account settings. You confirm by typing "delete account". Your name, email, school, photo, memberships, RSVPs, feedback, and push tokens are removed. Attendance stays as an anonymous count so past event totals remain accurate. Announcements you wrote stay, and the feed shows them as from a deleted account.

If you are the owner of an organization, you transfer ownership first. We will not delete the account until you do.

Messages

We email and send push notifications about events, reminders, announcements, and membership. You can turn most of these off in your notification settings, on the website or in the app.

A few messages stay on, because they are a record of something you did or that changed: your membership becoming active, an RSVP confirmation, and mail when an event you are going to is changed or canceled.

We do not sell personal information, and we do not use it for advertising.

Who handles it for us

Third-party companies process information so Harmony can run.

How long we keep it

Account information stays until you delete the account. A name and email stored for someone without an account last at most 90 days, and sooner if they say it was not them or the email bounces. An anonymous attendance count can remain after the name and email are gone.

Harmony is for people with a school email at a registered school. It is not directed at children under 13, and we do not knowingly collect personal information from them.

Changes

When this policy changes, we will update this page and the effective date at the top.
